Legal
Acceptable use policy
Effective October 19, 2026
This policy says how the Rhea app may be used. It is part of the terms of service, so breaking it is breaking the terms. It applies to everyone your organization lets into Rhea, and the organization is responsible for all of them.
Use Rhea for your own business’s books
Rhea is for keeping the books, labor and profit of the stores your organization owns or manages, and for the bookkeeper, accountant and managers you authorize to work on them. Use it for that.
Don’t
- Reach for what isn’t yours. Don’t try to see, change or guess at another organization’s data, another person’s account, or any part of the service you haven’t been given. If you find a way in by mistake, stop and tell us.
- Get around sign-in, roles or limits. Don’t share a sign-in, lend a seat, use someone else’s second step, or work around a role, a read-only period, a rate limit or a file limit.
- Upload what Rhea doesn’t ask for. No Social Security numbers, full bank account, routing or card numbers, payroll registers with pay per person, customers’ card or contact details, or anything you don’t have the right to share. Rhea refuses what it can detect; you are responsible for the rest.
- Connect accounts that aren’t yours to connect. Connect a POS, time clock, bank export, QuickBooks company or payment account only when you are allowed to give Rhea that access.
- Pay a bill you shouldn’t. Don’t use paying bills from Rhea for anything but your own business’s bills, for a vendor you haven’t checked, or for anything the payment partner’s terms forbid.
- Disrupt the service. No probing, scanning or load-testing without our written OK, no malware, no interfering with other users, no automated access beyond the connections the app offers.
- Copy or resell it. Don’t scrape, copy, reverse-engineer or mirror the app, build a competing product from it, resell it or offer it to others as a service, or remove Rhea’s name from its exports when you pass them off as something else.
- Break the law. Don’t use Rhea for anything unlawful, including keeping false books, hiding income, evading tax, or processing another person’s data without the right to.
- Pretend to be someone else. No false names, no signing up for an organization you don’t represent, no feeding Rhea files made to look like a vendor’s.
Reasonable use
Rhea sets fair limits so one organization can’t slow the service for others: on file sizes and counts, on how many files Rhea reads for you each month, on emails to a reports address, on sign-in attempts. The app says when you reach one. If your use is far outside what a group of your size normally needs, we’ll talk to you before we change anything.
Reporting a problem
If you find a security problem in Rhea, tell us at sales@rheafi.com before telling anyone else, and give us a reasonable time to fix it. We won’t take action against someone who reports in good faith, stays within their own organization’s data and doesn’t disrupt the service.
What happens if this policy is broken
We may warn you, suspend a seat or the organization, remove what was uploaded, or end the account, as the terms allow, and we tell you why where we may. For something unlawful or dangerous we may act first and tell you after. Where the law requires, we may report it.
